End of Rate Holidays

Both the User Fee Holiday and the Hardware Surcharge Rate Holiday will end following this billing period, in part to prepare for the scheduled equipment replacement in 2012 and 2013. An invoice for the months of July, August and September will be sent to you on June 1, 2011.

The UAN User Fee is based on a sliding fee schedule determined by your Total Resources. The fee schedule and the calculation for Total Recourses have not been changed and can be found on the last page of the User Agreement (http://uanlink.auditor.state.oh.us/pdf/UANUserAgreement.pdf).

The total client savings from these holidays (the Hardware Surcharge holiday was in place for 24 months, the User Fee holiday for 15 months) exceeded $5 million. We will continue to closely monitor the costs of services provided by the UAN.

Visiting Clerks

UAN is in the first stages of securing visiting clerks for the next fiscal year. The Visiting Clerk Program is a great asset; providing a level of support that is critical and truly appreciated by our clients in need. We attempt to have a balance of visiting clerks spread throughout the state to reduce travel time and costs which allows them to quickly aid clients.

There are a couple of broad areas in the state that do not have a visiting clerk presence including Darke, Shelby, Miami, Logan, Champaign, Clark and Union counties in eastern Ohio and Brown, Adams, Pike, Ross, Vinton and Jackson counties in southern Ohio.

If you are a senior UAN client, use both the accounting and payroll modules, have outstanding audits and are interested in joining the 40 visiting clerks in the program, please contact UAN Support.

Online Resources - Recorded Courses

An additional training option is now available. We have recently begun recording training courses and making these sessions available online. Now, in addition to being able to participate in either a traditional classroom or an online course, our clients can view these training sessions at their convenience.

We have also broken the courses into small, defined sections so you have the ability to quickly find and watch only the areas you need.

The courses that are currently available include:

  • UAN version 15 Budget (5 sections)
  • UAN version 2011 Accounting (33 sections)
  • UAN version 2011 Budget (7 sections)
  • UAN version 2011 Check Designer (1 section)

Deadline
In the last issue, we discussed an option for clients to utilize the UAN version 2011 Accounting and the UAN version 15.0 Payroll modules. This configuration would enable a multi-user capability within the accounting application for clients severely impacted by the roll-out date adjustment of the rewrite. We previously included a listing of considerations that must be clearly understood and accepted. If you have decided to explore this option, please contact UAN Support by June 10, 2011.
